Acceptance report

Say what's done and what isn't. AI writes the acceptance report.

Walk the job with the customer and say what's finished and what's still open. AI writes up the inspection, puts each defect with its photo and the deadline for fixing it, and lists what's missing before you finish. The result is plain: accepted, accepted with reservations or refused. The customer can sign on your phone. In Germany, this report is called the Abnahmeprotokoll.

Who was there, what was checked and tested, and what works

Defects list

Each open item or defect, where it is, and who fixes it by when

From talking to a sealed PDF

  1. 01

    Talk

Walk through and say what you see. AI writes it into the right section and puts the numbers in their fields. Each photo lands in its section.

  2. 02

    Fill the gaps

Before you finish, AI lists what's missing, like the gas meter reading. Say it, and it drops off the list. You can change anything AI wrote.

  3. 03

    Finish

The PDF is sealed with a trusted timestamp and a code anyone can check. If you want, the other side signs on your phone, on their own phone from a QR code, or later by email.

Acceptance report: common questions

What does acceptance change under German law?

Payment falls due (§ 641 BGB), the risk passes to the customer (§ 644 BGB) and the limitation period for defect claims starts (§ 634a BGB). For defects raised after that, the customer usually has to prove they exist.

Why reserve known defects at acceptance?

A customer who accepts the work while knowing of a defect keeps the rights to have it fixed, to fix it at your cost, to withdraw or to reduce the price only if they reserve them at acceptance (§ 640(3) BGB). So every known defect belongs in the report.

Does the customer have to sign?

No, but it's offered: they sign on your phone with their name and finger, on their own phone from a QR code, or later from an email link, and can add one remark. Without it, the PDF carries only your signature.

For the reports you write on site

Each form uses your country's words and knows the facts it needs: meter readings and keys, defects with their photos, hours worked, the other driver's plate.
